Pulse Connect, Inc. ("Pulse," "we," "us," or "our") operates an organizational alignment intelligence platform at pulseconnect.us and app.pulseconnect.us (the "Service"). This Privacy Policy explains what data we collect, how we use it, who we share it with, and what rights you have.

1. Who This Policy Covers
This policy covers two types of people: Organization Administrators (the leaders and IT contacts who purchase and configure Pulse on behalf of their organization) and Team Members (the people whose alignment responses are collected through the Service at an administrator's direction).
If you are a Team Member, your organization's administrator is the primary data controller responsible for how your responses are collected and used. Pulse acts as a data processor on their behalf.
2. What Data We Collect
From Organization Administrators
- Name, work email address, and phone number (for account setup and billing)
- Organization name, type, and size
- Billing information (processed by our payment provider; we do not store full card numbers)
- Configuration choices, feature usage, and session activity
From Team Members
- Alignment responses submitted via the platform (text, voice-to-text transcriptions, or structured selections)
- The date and general category of each response
- Device type and browser used (for compatibility purposes only)
We do not collect Social Security numbers, government IDs, financial account information, precise geolocation, biometric data, or protected health information from Team Members.
Automatically Collected Data
- IP address (used for security and abuse prevention, not for tracking or profiling)
- Anonymized usage analytics via Plausible Analytics (privacy-first, cookieless, no cross-site tracking)
- Server logs retained for 30 days for security purposes
3. How We Use Your Data
We use the data we collect to:
- Deliver and improve the Service
- Generate pattern-level alignment reports for Organization Administrators
- Send transactional emails (account confirmation, booking confirmations, invoices)
- Respond to support requests
- Detect and prevent fraud, abuse, and security incidents
- Meet legal obligations
We do not use Team Member response data for advertising, marketing profiling, or any purpose other than generating the alignment intelligence reports that the Organization Administrator has requested.
4. Who We Share Data With
We do not sell, rent, or trade your personal data. We share data only in the following limited circumstances:
- Service providers: We use a small number of vendors to operate the Service (cloud hosting, payment processing, transactional email). Each vendor receives only the data necessary for their specific function and is contractually bound to keep it confidential and use it only as directed.
- Your organization's administrator: If you are a Team Member, your responses are visible to your organization's designated administrators in pattern-level form. Pulse is designed so that leaders see aggregate alignment signals, not individual-attributed transcripts (see Section 7, Trust Architecture).
- Legal requirements: We may disclose data if required by law, court order, or government authority, or to protect the rights, property, or safety of Pulse, our users, or the public.
- Business transfers: If Pulse is acquired or merges with another entity, user data may transfer as part of that transaction. We will provide notice before your data becomes subject to a different privacy policy.
5. Data Retention
We retain Organization Administrator account data for the duration of the subscription plus 90 days after termination, to allow for data export and dispute resolution.
We retain Team Member response data for the duration of the organization's active subscription. Administrators may request earlier deletion at any time by contacting [email protected].
Anonymized, aggregated statistics (with no connection to individual users or organizations) may be retained indefinitely to improve the Service.
6. FERPA Compliance (Education Customers)
For K-12 schools, school districts, and other educational institutions subject to the Family Educational Rights and Privacy Act (FERPA), Pulse operates as a "school official" under FERPA, meaning:
- We use Team Member data only to perform functions that the educational institution has contracted us to perform.
- We do not disclose education records to third parties without consent, except as required by law.
- We do not use education record data for advertising or building a profile of any student or staff member for non-educational purposes.
- Alignment responses collected from instructional staff are considered professional performance data, not student education records under FERPA.

7. Trust Architecture: How Response Data Is Handled
Pulse is built on a principle we call Trust Architecture. Leaders see pattern-level alignment signals across their organization, not a transcript of what any individual said. Specifically:
- Voice response transcriptions are processed to extract themes and sentiment; raw transcripts are not surfaced individually to administrators.
- Responses are aggregated before being included in dashboard views.
- Pulse does not allow administrators to query the platform for what a specific named person said.
This design is intentional and enforced at the data layer, not just at the UI layer.
8. Data Security
We use industry-standard security measures including encryption in transit (TLS 1.2+), encryption at rest, access controls limited to authorized personnel, and regular security reviews. No method of transmission over the internet is 100% secure. If we become aware of a breach that affects your data, we will notify you as required by applicable law.
9. Your Rights
Depending on where you are located, you may have the right to:
- Access: Request a copy of the data we hold about you.
- Correction: Request that we correct inaccurate data.
- Deletion: Request that we delete your data, subject to our legal retention obligations.
- Portability: Request your data in a machine-readable format.
- Objection: Object to certain processing activities.

If you are a Team Member and wish to access or delete your response data, please contact your Organization Administrator first, as they are the primary controller for that data.
10. Cookies and Tracking
We use Plausible Analytics, a privacy-first analytics tool that does not use cookies, does not track users across sites, and does not collect personal data. We do not use Google Analytics, Facebook Pixel, or any other behavioral advertising tracker.
We use session cookies only to keep you logged in. No tracking cookies. No advertising cookies.
11. Children's Privacy
The Pulse organizational alignment platform is intended for use by adults in professional and organizational settings. We do not knowingly collect personal data from children under 13. If you believe a child under 13 has submitted data through the Service, please contact us immediately at [email protected].
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify Organization Administrators by email at least 14 days before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
